GAP Timeline
Each GAP Agency is required to create a timeline for the implementation of GAP in the region. The timeline is a required element of the certification process.
Tips:
- Grassroots Arts Program Agencies cannot be notified of their certification status or be sent a contract until after the Georgia yearly budget is signed into law. Ideally, contracts should be received by agencies during the month of July—however; this is subject to change based on the state budget process.
Once a contract is received, the agency should follow a chronology similar to the one shown here:
- Return three (3) copies of the signed contract to GCA with GAP Invoice #1
- Announce application deadlines at least one month prior to the deadline and be certain application forms are available when the deadline is announced. Build in ample time for marketing so that the program is widely publicized
- Be available to provide assistance if applicants have questions and schedule the GAP workshop at least 2-4 weeks prior to the deadline
- Once applications have arrived, send to the Advisory Committee along with copies of the Application Review Criteria that you have developed
- Schedule the Advisory Committee application review meeting far enough out to give Advisory Committee members time to read and evaluate the applications
- Announce the meeting date in advance and be certain it is open to the public
- Make certain that all applicants are notified promptly—those who were approved for funding, as well as those who were not
- Issue a contract to all approved sub-grantees that includes the same state and federal requirements indicated in the GAP Agency contract with GCA. In addition, the contract package should include an explanation of how funds will be disbursed, important deadlines, and any required paperwork (CRR, Final Report, etc.) The sub-grantee must also be made aware of their contractual obligation to use the GAP logo and credit line on all materials relating to the funded project.
- Provide publicity regarding funding recipients to all communities the Grassroots Arts Agency serves
- GAP sub-grantee projects take place
- Final reports due to GAP Agency from sub-grantees on June 30. (Note: Ideally, final reports from sub-grantees should be required within 30 days after the completion of the project. Make it clear to sub-grantees that final reports not in by June 30 may be subject to the withholding of balance of contract.)
- Grassroots Arts Agency submits its final report and GAP Invoice #2 to GCA no later than August 31.
